HOA Court Booking Software

View as Markdown

Residents of a homeowners association, condo association, or community book the shared courts online, whether tennis, pickleball, basketball, soccer, football, or any other court or field. Dues already pay for the courts, so nobody has to enter a credit card. Each household gets a Resident membership with a set number of court hours a month, and you pick which hours are for residents only.

This guide covers the three screens: make the Resident plan, hold hours back for residents, then add your residents. For why this works and what residents see, read HOA Court Booking Software for Community Courts.

Create the Resident plan

In the sidebar under Operations, open Offers and stay on the Memberships tab.

The five settings that make up a resident pass.
  1. Click + Add Tier to open the Create Membership Tier panel.
  2. Under Plan Name, type Resident. The name is up to you, it just needs to make sense to whoever hands it out.
  3. Tick Hide from public page. The plan then stays off your public booking page, so nobody can sign themselves up as a resident. You give it to people from their customer page or by sending an invite link.
  4. Set Membership length to Lifetime (never expires). Living in the community is not something that renews every month, so the pass stays on until you remove it. Remove it when someone is no longer a resident.
  5. Under Member Hours Allocation, give each household its hours, for example 4 hours every month. The hours come back on the same day each month at 6:00 AM in your facility's time, and any hours they did not use are gone at that point.

Leave Charge for this membership through the invite link unticked. The invite link then turns the membership on for free, which is what you want when dues already come in through the HOA.

Keep court hours for residents

Open Hours in the sidebar. Each kind of court lists its prices by day and time, and every time slot has a Members Only column.

  1. On a slot you want to hold back, open the Members Only dropdown and tick Residents.
  2. Click Save Changes.

Only residents with the plan can book those hours. Leave the column alone on any slot you want open to everyone, so resident-only hours and public hours can sit side by side on the same court.

Tick Residents on each time slot you want to hold back.

Add your residents

Open Customers in the sidebar.

  1. Click Add Customer in the top right.
  2. Fill in the resident's details. Name and Email are needed, phone is up to you. When that person signs up later, their account connects on its own by email.
  3. Under Membership (optional), pick Residents. This is what lets them book and gives them their hours, so don't skip it.
Pick the Residents plan as you add the customer.

Leave Send invitation email ticked so the resident gets a link to claim their account. Do the same for each household.

When a resident moves out, open their customer page and remove the membership. The plan never expires on its own, so removing it is what ends their access.

No online payment needed

Since dues come in outside of BookThisCourt, there is nothing to hook up for payments. Your community manager or HOA admin adds residents one by one by email rather than selling memberships online.
