Private Club Court Booking & Membership Software

View as Markdown

Members of a private club book courts online, whether tennis, pickleball, squash, basketball, soccer, football, or any other court or field, and they see only the times their membership includes. You make a plan for each type of member, hold hours back for those plans, and give each of your current members their plan. You keep collecting dues the way you do today; taking payment online is optional.

This guide covers the three screens: make the plans, hold hours back for members, then add your current members. For why this works and what members see, read Private Club Court Booking and Membership Software.

Create the membership plan

In the sidebar under Operations, open Offers and stay on the Memberships tab.

  1. Click + Add Tier to open the Create Membership Tier panel.
  2. Under Plan Name, type the name members will see, for example Full Member or Junior.
  3. Tick Hide from public page if people join by invitation or from a waitlist. That keeps the plan off your booking page so you hand it out yourself. Leave it unticked only if you want people to join on their own.
  4. Set Membership length. Pick Lifetime (never expires) when your own office handles renewals, so the plan stays on until you end it.
  5. Under Member Hours Allocation, give members the court hours their dues cover, for example 8 hours every month. The hours come back each month.
A plan for each type of member, each with its own hours.

Do the same for each type of member you have.

Reserve court hours for members

Open Hours in the sidebar. Each kind of court lists its prices by day and time, and every time slot has a Members Only column.

  1. On a slot you want to hold back, open the Members Only dropdown and tick the plans that should get it.
  2. Click Save Changes.

Only members on those plans can book those hours. Leave the column alone on any slot you want open to everyone, so members-only hours and public hours can sit side by side on the same court. This is also how you hold a regular weekly slot for one group of members.

Tick every plan that should get those hours.

You can also just give members a cheaper price instead of keeping the hours to themselves. See member-only times.

Add your existing members

Add the members you already have. If you left the plan showing on your booking page, new members can sign themselves up too.

Open Customers in the sidebar.

  1. Click Add Customer in the top right.
  2. Fill in the member's details. Name and Email are needed, phone is up to you. When that person signs up later, their account connects on its own by email.
  3. Under Membership (optional), pick their plan.
Pick the member's plan as you create them.

Leave Send invitation email ticked so the member gets a link to claim their account. Do the same for each member.

When someone leaves the club, open their customer page and remove the membership.

See Memberships for plans, booking limits, and the other perks you can add. Running HOA or community courts instead? See HOAs and Community Courts.
